These Terms & Conditions apply to all participants enrolled in Little Ballers programs. By enrolling a child, parents/guardians agree to the following:
1. Program Overview
Little Ballers provides school-based ball skills, movement and agility programs for children in Prep and Grade 1. Sessions are delivered in a structured, supervised environment focused on confidence, coordination and enjoyment of physical activity.
2. Enrolments & Bookings

All enrolments must be made online via the Little Ballers booking system.

Enrolment is confirmed once full payment has been received.

Programs run for a fixed term duration.

Each booking and package applies to one child only. Separate bookings are required for siblings.

A completed Participant Intake & Consent Form must be submitted prior to a child’s first session. Children will not be permitted to participate without a completed form.
3. Packages & Attendance

Families select a package based on how many sessions per week their child will attend (1 or 2 sessions per week across the term).
-
Packages are valid for the current term only and expire at the end of the term.

Packages are non-transferable between children or across terms.
4. Missed Sessions vs Cancellations
A missed session occurs when a child is unable to attend a booked session but remains enrolled in the program.
A cancellation occurs when a family withdraws their child from the program entirely.

Missed sessions are not refundable.

If a session is missed due to illness, a make-up session may be offered, subject to availability and capacity limits. Make-up sessions are not guaranteed and must be arranged in advance.

Missed sessions cannot be carried over to future terms or exchanged for refunds.
5. Refund Policy

Refunds may be considered if a cancellation request is received before the commencement of Week 4 of the program.

Sessions already attended are non-refundable and will be deducted from any refund amount.

After the commencement of Week 4, refunds will not normally be provided.

In exceptional circumstances only (such as serious illness or unforeseen family circumstances), a partial refund may be considered at Little Ballers’ discretion. Any refund issued after Week 4 will be a small percentage of unused sessions and is not guaranteed.
Refunds will not be provided for:

Sessions already attended
-
Missed sessions
-
Illness (unless a make-up session is arranged)
-
Holidays or scheduling conflicts
6. Session Changes & Transfers

Changes to session days or times are only possible if space is available.

Little Ballers does not guarantee the ability to change sessions once a term has commenced.
7. Behaviour & Discipline
Little Ballers maintains clear session rules to ensure safety, enjoyment and learning for all children.
Children are expected to:

Follow coach instructions
-
Respond to safety cues (including whistle commands)
-
Use kind bodies and kind words
Little Ballers reserves the right to remove a child from a session or the program if their behaviour places themselves or others at risk, or if repeated behaviour disrupts the group. In these cases, refunds are not required.
8. Health & Medical Information

Parents/guardians must disclose all relevant medical conditions, allergies or injuries during enrolment.

It is the responsibility of parents to ensure their child is fit to participate in physical activity.
-
Little Ballers cannot administer medication (including EpiPens) but will follow emergency procedures if required.
9. Collection & Supervision
-
Little Ballers sessions are not run during school hours.
-
Children attending YMCA After School Care will be collected by YMCA staff following the session.
-
Prep students may be collected from their classroom only if this has been indicated and authorised on the intake form.

Children remain under Little Ballers’ supervision only while they are signed in and actively participating in the session. Outside of this supervision window — including before sign-in and after sign-out — responsibility transfers to the parent/guardian or the approved collector who has taken custody of the child.

Only individuals listed as approved collectors may collect a child. It is the responsibility of the parent/guardian to ensure that the approved collector list remains accurate and up to date at all times.

Children must remain with Little Ballers staff until they are personally handed over to an approved collector. Parents/collectors must approach staff to collect a child and use the signout paperwork to sign their child out of the session.

A child may only leave once they have been formally signed out.

At sign-out, we record:
-
Child’s name
-
Name and signature of the collector
-
-
If sign-out cannot be completed or verified, the child will not be released until the matter is resolved.

For child safety, Little Ballers may request photo identification at collection, including (but not limited to):
-
When a collector is unknown to staff
-
When a collector is attending for the first time
-
Where there is any uncertainty about authorisation
-
-
If suitable identification cannot be provided, we may refuse release until authorisation can be verified with the parent/guardian.

If someone not listed as an approved collector attempts to collect a child, the child will not be released unless authorisation can be verified by one of the following:
-
Written confirmation from the parent/guardian via the primary contact method on file (e.g. SMS or email), or
-
Direct phone confirmation with the parent/guardian using the primary phone number on file.

Early collection is permitted only if:
-
The approved collector attends the designated pickup point and requests early release, and
-
The child is formally signed out and personally handed over by staff.
-
*Children are not permitted to leave the session area early without staff handover and sign-out.

Parents/guardians are expected to arrive promptly at the scheduled session finish time. If a child has not been collected within 15 minutes of the session end time, Little Ballers will attempt to contact the parent/guardian using the contact details on file. The child will remain supervised by Little Ballers staff at the designated pickup point.

If a child has not been collected within 30 minutes of the session end time and no responsible adult can be contacted, Little Ballers may follow escalation procedures consistent with venue/school policies and/or contact appropriate authorities where required for the child’s safety.
10. Parent / Guardian Responsibilities
By enrolling a child in Little Ballers, parents/guardians acknowledge and agree that:

It is their responsibility to ensure their child arrives safely at the designated session location. Little Ballers does not supervise children before the scheduled session start time.

For Prep students only, collection from class will occur only where this has been requested and authorised on the intake form. If not indicated, parents/guardians remain responsible for ensuring the child attends the session location.

Parents/guardians must ensure that approved collectors understand the designated pickup location and follow the collection procedure.

Collectors must approach Little Ballers staff directly and complete the formal sign-out process before a child leaves. Children must not leave the session area independently.

Once a child has been formally signed out and released to an approved collector, supervision responsibility transfers to the parent/guardian or collecting adult.
-
Responsibility for travel to and from the session location, and for any time outside the scheduled session window, rests with the parent/guardian.
-
Parents/guardians must notify Little Ballers as early as possible of any changes to collection arrangements.
11. Photography & Media

Photos or videos may be taken during sessions for marketing or promotional purposes.
-
Consent preferences selected during enrolment will be strictly followed.
-
Children without media consent will not be identifiable in any materials.
12. Cancellations by Little Ballers
In the event that a session is cancelled by Little Ballers (e.g. extreme weather, school closure, coach illness), families will be offered either:

A make-up session, or
-
A credit for a future program
13. Liability
Participation in Little Ballers involves physical activity. While all reasonable care is taken, participation is at the parent/guardian’s own risk. Little Ballers holds appropriate public liability and professional indemnity insurance as required.
14. Changes to These Terms
Little Ballers may update these Terms & Conditions from time to time. The most current version will be available on the website.
